All bookings must be made in advance and paid for before use.
Please include setup and clear-up time in your booking.
Cancellation Policy
- 28+ days’ notice – no charge
- 15–27 days – 50% charge
- 14 days or less – full charge applies
Use & Conduct
- This is a place of worship and spiritual reflection.
- We ask all guests to respect the space and follow these guidelines:
- Only use the rooms you have booked
- Return furniture to its original place
- Clean up after use, including the kitchen if used
- Respect our no smoking and no alcohol policy
- Do not use candles, incense or naked flames
- Do not exceed booking time unless agreed in advance
- Children must be supervised at all times
- No use of Meeting House images or name in promotions without permission
Accessibility & Safety
- Wheelchair access throughout
- First Aid kits in the kitchen and office
- Fire exits and plans clearly displayed
- Nominate a “Responsible Person” for fire safety
- Do not block fire exits or prop open fire doors
- No personal electrical items without a PAT certificate
- Environmental Responsibility
- We ask hirers to help us live simply and sustainably:
- Close doors to conserve heat
- Lower the heat rather than open windows
- Switch off lights when not needed
- Use reusable crockery and cutlery
- Sort recycling properly
- Insurance & Safeguarding
- You are responsible for your own insurance
- Any damage must be reported and paid for
- Hirers working with children or vulnerable people must have appropriate policies and checks
- Quakers are not responsible for safeguarding arrangements of external groups
Advertising and Media
- Do not film, photograph or record without permission
- No sales, posters, or literature without prior agreement
- Invitations to your events must use your contact details, not ours
Eligibility
When using our Meeting House, we ask everyone to respect the Quaker commitment to truth, equality, simplicity, peace, and sustainability.
This means:
- Please do not advocate for violence in any form, under any circumstances.
- Speak and act in ways that uphold the dignity of every individual and community. This includes respecting people’s identity—whether that relates to race, nationality, sex, gender, or sexuality.
- Honour our long tradition of listening across differences. We believe in the importance of hearing other views, expressed with care, kindness, and respect.
- Support our efforts to run the Meeting House in the most environmentally sustainable way we can.
- We welcome everyone and trust that all who use our space will do so with thoughtfulness and integrity.
When We Might Decline a Booking
We want to welcome a wide range of people and events into our Meeting House. But as a place rooted in Quaker values, we sometimes need to say no to bookings that go against our principles or purpose.
We may not accept a booking if:
- The event, group, speakers, or publicity go against Quaker values—especially those of peace, equality, inclusion, and respectful listening.
- It could harm the reputation of the Meeting House or make our work as a charity less effective.
- It clashes with the Quaker commitment to hearing diverse views in a spirit of peace and care.
We may also turn down a booking if:
- It would disrupt Quaker worship or activities.
- It promotes gambling, alcohol, or addiction-related content.
- The expected tone or behaviour goes against our dignity-at-work policy.
- It may breach fire safety or health and safety rules.
- The group or individual has previously behaved in a way that caused concern.
- The information given in the booking request is dishonest or misleading.
- There has been a breach of our room hire terms and conditions in the past.
If There Are Questions About a Booking
- If a request raises concerns, it will be reviewed by our leadership team. We aim to make a decision within two working weeks. If more time is needed, we’ll let you know and explain why.
- If a booking is refused, we’ll always explain the reasons.
- If you disagree with the decision, you can ask for a review in writing. This will be considered by a senior member of the charity, and a final decision will usually be made within two more working weeks.
We want to be transparent, thoughtful, and fair—while also being true to our values.
We support and follow the Equality Act 2010 in all our decisions.
Hourly hire rates apply with a two-hour minimum.
